Records of Program Implementation

Operators should maintain records answering three questions.

Who received the materials? The records will differ based on the method of communication and the audience. If direct mail is the delivery method for the affected public, the address is sufficient. For all other stakeholder audiences, direct mail records should also include the name of the organization and the position title within the organization. For personal meetings, lists of people invited and people attending need to be maintained.

What message content was delivered? Copies of the materials mailed, agendas of meetings, or advertising need to be maintained.

When were the messages delivered? All of the records listed above need to include the date the awareness materials were delivered.
